Move your practice into Immiluma
Most practices keep their work as folders of documents. Instead of retyping every client, you can open that folder in an AI app, ask it to prepare an import, and check the result in Immiluma. Nothing becomes a client, matter or file until an owner or administrator confirms it.
Which apps work
Immiluma works with an app that can read a folder on your computer and connect to Immiluma.
- Apps that can run commands, such as Claude Code, Codex, Claude Cowork and ChatGPT Work, can send the files to Immiluma themselves, using one-time upload links. Your computer or the app may ask you to approve this.
- Apps that cannot run commands, such as a chat in a web browser, can read the files and prepare the records. When it finishes, it sends you to the import page, where you choose the same folder and Immiluma adds the files.
How each app behaves depends on its version and plan, so try a folder of five to ten clients first.
Before you start
- An owner or administrator turns on AI access in Settings.
- Connect the app as described in Connect Claude or ChatGPT. On the permission screen, tick the box that begins “Let … prepare practice imports”. It is unticked unless you choose it.
- Owners, administrators and agents can prepare an import. Only an owner or administrator can confirm one.
- If your folder is a zip file, unzip it first. A browser cannot open a zip when you choose a folder.
What is sent to the AI provider
Whatever the app reads in your folder goes to the company that runs the AI, under the terms of your plan with it. That includes client names, dates and the text of documents. Before you start, check that your agency has approved the provider for client information. The app is told to ask you to confirm this before it reads anything.
The app is told not to copy passport or other identity numbers into an import, and an import has no field for them. They stay in the documents.
Use the most capable model you have
Reading hundreds of documents and picking out dates is hard work for a model. A more capable model makes fewer mistakes and misses less. Immiluma cannot tell which model an app is using, so choose it yourself. A less capable model can still be used, but plan to check more.
What to say to the app
You can say something like this:
Migrate the clients in this folder into Immiluma. Use the Immiluma tool to start an import. Read each client's documents and save their details, matters and files. Quote the document for every date. Leave out anything the documents do not say.
Add anything that helps, such as "each client has their own folder" or "ignore the Archive folder".
How checking works
The import page lists the clients the app found. For each one you see the facts the app read, such as visa expiry, Department deadlines and lodgement dates, next to the words it quoted and the file and page they came from. Choose the file to open it there.
- Correct any value. The page records that you changed it and who did.
- If a client may already be in Immiluma, you choose between adding to that client and creating a new one.
- Dates the Department or a state set, such as a s56 response date, become tasks on the matter when you confirm.
- Files the app could not bring across are listed with the reason. A file Immiluma can accept can be given to a client.
- Confirm one client at a time. Their matters and files are created together.
Immiluma does not judge whether anything is correct. The checking is yours.
What confirming does and does not do
- It creates the client, the matters and the files you checked.
- Imported files are filed in the client's folders. They do not tick items off a matter's checklist.
- It sends no email, notification or portal invitation to anyone.
- There is no undo for an import. Imported records are ordinary records that you can edit, and files can be deleted from the Files page.
If you stop part way
An import you do not touch for 30 days is discarded, and the files held for it are removed. The import page shows the date. You can also discard an import yourself. Records you have already confirmed stay.
